Privacy Policy for Spillavhengighet Norge

This privacy policy outlines our handling of personal information collected to provide our services to users, volunteers, and others we work with. The processing of personal information occurs digitally and in written form in accordance with data protection regulations (GDPR).

The organization’s data controller is the executive director. Requests for access, rectification, or deletion of personal information can be made to the executive director, Lill-Tove Bergmo, via email at samtykke@spillavhengighet.no

You may request the deletion or modification of stored information at any time.

1. ORGANIZATION’S PROVIDERS AND TOOLS

Mediebruket AS is the consulting company that developed the website www.spillavhengighet.no. Security: Mediebruket AS monitors spillavhengighet.no with daily backups. Spillavhengighet Norge and Mediebruket have signed a data processing agreement. This agreement ensures that personal information is not used unlawfully or disclosed to unauthorized parties, and it explains how the data processor collects, registers, and stores/reveals the personal information collected through the website that the data processor manages on behalf of Spillavhengighet Norge. Personal information may include email addresses, phone numbers, names, and IP addresses. Mediebruket is bound by confidentiality and cannot share personal information with others. When you contact Spillavhengighet Norge through a contact form, the information you provide is stored for as long as necessary to offer you the help we can provide. Forms and the information are deleted at regular intervals.

Telenor provides IT solutions for Spillavhengighet Norge. The organization’s primary tools for office services are Microsoft Office 365. The following IT solutions are used by the organization:

– Microsoft Teams – Digital meetings
– Microsoft Exchange – Email service
– Microsoft SharePoint – Storage of shared documents

Synlighet AS is a digital marketing agency that provides consulting and other services for Spillavhengighet Norge’s digital marketing. Synlighet AS provides services such as digital media advertising, search advertising, banner advertising, social media advertising, website search engine optimization, and web analytics.

Island Garden is an IT development company that has developed and delivered Spillavhengighet Norge’s membership register “SN Medlem,” app, and system. The administrator panel for SNmedlem.no is stored in AWS. The database Firebase is a Google Cloud product. No user data is stored outside of the Firebase database. Security: The API, database, and app use Firebase Auth for authentication and security. The applications are updated when new security updates become available. 2. USE OF COOKIES

Spillavhengighet Norge uses cookies on its website to provide a good user experience for visitors to spillavhengighet.no. As an important part of this work, we analyze the user patterns of those who visit our website. To analyze this information, we use the Google Analytics analysis tool through the third-party company Synlighet AS. Cookies transfer and receive information to and from Google Analytics and AdWords. You can prevent cookies from being stored on your device by changing the settings in your browser. Information from cookies is not disclosed to third parties.

What are cookies?
Cookies are small text files that are stored on your computer, phone, or tablet when you visit a website. Cookies help the website remember your settings (e.g., username, language, text size, and other preferences) for a certain period. Cookies are also used to improve functionality, collect information for analysis, or for marketing purposes.

3. MEMBERSHIP REGISTER

Spillavhengighet Norge registers anyone who wishes to become a member in a register developed by Island Garden. This is not a public register, and only the organization’s staff have access to it. This register contains names, addresses, phone numbers, email addresses, and birthdates (6 digits). While this is generally not sensitive information, due to the organization’s name, this register is considered sensitive information and is protected with a username and password. The information will be used to send information about activities such as group meetings and contact appointments. The register has its app, allowing members to view their own information at any time, in addition to membership information from the organization.

4. DIALOGUE SYSTEMS

Spillavhengighet Norge has several channels for dialogue. The primary tool is Microsoft Office 365, which provides email, chat (internal), telephony, and video conferencing. Spillavhengighet Norge has a telephone service for inquiries, provided by Telenor Bedrift. All phones in the chain are owned by the organization.

Group leaders use private phones to store contact information for participants in their own groups, with their consent. All phones

are password-protected. Spillavhengighet Norge uses @spillavhengig.no addresses for staff and some volunteers. You can send us an email, but remember that all organizations are vulnerable to data theft. You should not send sensitive information via email. If we receive such an email, we process it according to its content and then delete it. All information is stored in Office 365, which is GDPR-compliant for information that Spillavhengighet Norge typically processes.

All inquiries are recorded in a closed system on our website. This system does not store contact information or other personally identifiable information. The system is used to create statistics on inquiries. These statistics are used publicly and in connection with applications.

5. REGISTRATION FOR COURSES AND EVENTS

When registering for seminars/courses, contact information is collected, along with information on allergies and the need for accommodation. This personal information is not used for any purpose other than to administer the event. The personal information will be deleted after the event is completed.

6. PARTICIPATION IN NETWORK GROUPS AND USE OF OTHER SUPPORT SERVICES

A register of contact information for those who use our support services more than once has been created. Written consent is obtained before storing this information, explaining its purpose and use. The information will be used to send out information about activities such as group meetings and contact appointments. Users who no longer use our services will be removed from the register.

Periodically, Spillavhengighet Norge conducts (anonymous) surveys that focus on well-being and the environment in the groups. This is a link that is sent out (Questback).

Staff have access to the register. Group leaders have insight into the participants in their own groups. The daily leader manages the register, and staff have access.

Note: If you are a member of the organization, we have already obtained your consent through your membership registration.

Separate consents are obtained for points 5 and 6, and they should be signed.

7. DELETION OF INFORMATION/DATA/LETTERS

Information is stored for as long as necessary to provide the help needed or as long as the consent is valid. The information can be deleted at any time by the individual. Information on letters is stored in lockable cabinets/safes. These are shredded upon deletion. Inactive users’ information is deleted after 1 year.

Spillavhengighet Norge will update its privacy policy according to the prevailing rules of the Norwegian Data Protection Authority (Datatilsynet). You can file a complaint with the Norwegian Data Protection Authority if you believe that some of the organization’s personal data processing is incorrect or inappropriate.
